Who does this policy cover?
This policy covers visitors to revenantloncasi.com, guild applicants, roster members and website administrators. Revenant is responsible for the website and its application processes. Contact us about privacy at info@revenant.com.
What information do we use?
- Required application details: in-game character name, character class, Discord username and your PvP or Farm preference.
- Optional details: available dates and times, an availability note and your message. You may leave these fields blank.
- Application records: a reference number, creation and any update time, review status, acknowledgement of community terms, the version of the privacy notice presented and, if accepted, the link to a roster record.
- Technical information: access records such as your IP address, requested page, request time, response status, browser/device information and any referring address supplied by your browser.
- Administration details: administrator username, password hash, session and security records. Visitors are not asked to create an account or password.
- Direct correspondence: your contact address, message and information you provide to help resolve your request.
Why do we process it?
We use information to assess applications, contact applicants through their supplied Discord username when needed, coordinate availability and team activities, manage the guild roster and respond to requests. Technical records help operate the website, limit abuse and investigate problems.
The website does not use advertising targeting, visitor profiling or optional analytics tools. Applications are reviewed by the management team; membership decisions are not made solely by an automated system. The KVKK Privacy Notice explains the purposes and legal grounds in more detail.
Who can access it?
Authorised guild administrators can access application details. If your application is accepted and you are added to the roster, your character name, class, any specialisation and guild role may appear on the public team page. This roster transfer does not publish your Discord username, private message or available hours.
Hosting and security infrastructure providers may have technical access to information needed to deliver their services. Traffic passes through Cloudflare. Its global infrastructure may involve processing request and connection information outside Türkiye. Information may also be provided to legally authorised bodies in response to a valid request or legal obligation.
Following a Discord, Instagram, game server or design credit link takes you to another website. That service’s own privacy terms apply to your activities there.
Retention and security
Application and community records are retained as needed for application review and membership administration, and where necessary for applicable legal obligations or the protection of a right. Deletion, destruction or anonymisation is considered when the purpose ends. Applications do not have an automatic age-based deletion timer; requests are reviewed by management.
Access logs are limited by the server’s log rotation settings. The Cookie Policy explains the lifetimes of the administration session and browser preference record.
We use HTTPS, administration session controls, restricted record storage and rate limits on applications and sign-in attempts. Passwords are not stored in plain text. Do not include game passwords, payment details, identity documents or sensitive information such as health data in your application message.
Requests about your information
Email info@revenant.com about your application, public roster details or privacy. Your character name and any application reference help us locate the relevant record. We may request proportionate verification to avoid disclosing another person’s information; you do not need to attach an identity document to your first message.
The KVKK Privacy Notice explains access, correction, deletion and other rights and the request process under Turkish law. We update this page’s revision date when the policy changes. Reading a policy or visiting the website does not constitute explicit consent to optional processing.
